Role Purpose

The purpose of the role is to deliver profitable services to Exhibition organisers and exhibitors to the highest standards, and to develop any opportunities with organisers and exhibitors to create opportunities for further profitable growth. It is critical that the candidate delivers excellence to its clients in line with the Company values and behaviours. Fostering and contributing to a positive working environment and taking responsibility for the delivery of tasks delegated by the leadership team. Main Activities:

• Work closely with Organiser clients to help plan their events within the remit of Human Built services.

• Briefing any feature work requirements and floorplan changes promptly to the 2D design team, and ensuring that the mark-out floorplan is shared with (Mickey Parker) at the prescribed time

• Briefing/coordinating the service desk team travel plans and working hours in collaboration with the Senior Account Manager

• Creating work specs (or downloading them from the web shop) for any organizer requirements and ensuring that all exhibitor requirements are processed efficiently by your relevant colleagues. Ensuring those work specs are communicated to the relevant supplier using Trello and email

• Creating/maintaining a show P and L as shown to you through Excel and share point and ensuring all costs are covered to deliver a minimum (blended) 25% Gross Profit for your projects

• Update HubSpot to keep all associated teams updated on business progress

• Organise internal show meetings with necessary colleagues to share show information and any other relevant information to ensure the team are aware of all relevant details (especially Operations).

• Raise and send invoices to organiser clients. Estimated 50% value to be invoiced 60 days prior to the show with the balance invoiced within 7 days from last day of show.

• Attend pre-show site meetings as and when required by the organiser.

• Attend site for show build up and open days to maintain organiser contact and support the HB team to deliver a successful show.

• Offer support, when possible, necessary, and appropriate to the Made Ready/Design & Build Team

• Work with & provide clear design briefs to internal & freelance designers for show features and other organisers requirements.

• Use HubSpot as the main CRM system to enter relevant show data and run reports as and when necessary.

 

• Use Optimus as key system to process show work, invoicing, POs etc.

• Liaise with HB finance team to ensure they have clear visibility of supplier payment forecasts (cashflow forecasting sheet) and organiser invoices are paid on time.

• Provide information to the Ops Director, Sales Director and other stakeholders as and when required.

• Work with Operations Director to create & police resilient supplier SLA’s

• Working with the Support team (Exhibition Business Administrator) to get what support you need relating to exhibitor lists/nameboard lists/Pos raised & receipted/hotels booked/service desk resources booked/organizer furniture requirements booked

• Communicating and presenting ideas to Organisers, supporting their vision, and bringing the exhibition space to life.

• Managing multiple projects at any one given time, managing Organiser and Internal Stakeholder expectations

• Ensuring that capacity is managed carefully so that holiday and sickness absence are always covered, and that your project files are always accessible through the company server/online storage
